Development Coordinator

TIME STATUS & SCHEDULE: Full-time

JOB OVERVIEW: The Development Coordinator is a new and critical full-time position focused on supporting, strengthening, and generating revenue for a rapidly growing non-profit arts organization. The Development Coordinator helps build and maintain a donor acknowledgment system, assists in donor relations and events, and supports the organization’s chief fundraiser, the Executive Director, in all aspects of fundraising.

The Development Coordinator reports to the Executive Director. They work closely with the Marketing Manager to craft and review donor messaging and ensure timely gift processing and acknowledgment. Working within all levels of the N+T team and with experienced Development and grant-writing consultants, they are provided unique opportunities for career development.

The position is full-time, M-F, with some nights and weekend events as needed.

JOB MISSION: Develop and maintain internal systems that support donor cultivation and retention to facilitate N+T’s vision of a public art city.

METRICS: The Development Coordinator succeeds when

  • At least 3 campaigns annually are executed smoothly and timely, with real-time reports

  • At least 4 public events annually have a consistent “development” presence with a realized engagement plan (e.g., newsletter subscribers, conversion to donations)

  • Gifts are processed promptly (within 48 hours) and correctly in coordination with an outside vendor/consultant

  • Monthly and Quarterly reports for Board and Executive Director are accurate and timely

  • Quarterly donor touchpoints (e.g., Leadership Circle Salons) are realized

PRIMARY RESPONSIBILITIES:

  • Help assess, manage, and implement two critical Development Department upgrades

    • Salesforce donor database upgrade (e.g., systems and protocols for gift processing and timely donor recognition by external vendor, day-to-day entries and corresponding acknowledgment letters, prospect entry, and event attendee tracking)

    • New Donor cultivation best practices (e.g., Refine donor societies, implement new donor welcome package, create quarterly outreach opportunities)

  • Execute 2-3 Campaigns: (Annual Fund Campaign, Board Art Walk, and one project-specific or Corporate campaign): campaign creation, prospect identification, mail merge, mailing, donation webpage creation, gift recording, weekly reports, and end-of-campaign summary report.

  • Coordinate and plan 4-6 new-donor cultivation and fundraising opportunities within existing N+T events; inclusive of producing materials, event set up, and onsite cultivation support.

  • Coordination and execution of at least 3 quarterly Salons for existing Leadership Circle donors.

  • Support and deliver donor communications for individuals, foundations, and sponsors, including executing the Director's Quarterly Letter.

  • Oversee gift processing and Salesforce entry with a remote consultant. Send thank you letters.

  • Oversee Salesforce maintenance and reporting with consultant; monthly donor reports, inputting new prospects/contacts, and event registration.

  • Assist with Board stewardship, meeting coordination, and communication.

  • Provide support for additional development-related tasks (e.g., donor lists, grants application needs, and final reports).

  • Support ED and Development Consultant with basic prospect research

  • Assist with volunteer management and cultivation at events.

  • Assist with team members’ Salesforce usage.

QUALIFICATIONS:

  • 3+ years of relevant professional non-profit development experience

  • Hands-on experience in CRM; Salesforce preferred

  • Advanced writing and communication skills

  • Event coordination experience

  • Handles confidential information with discretion and responsibility

  • Comfortable with multi-tasking

HOURS: This is a full-time position in N+T’s open floor-plan office with the option for remote work 2 days per week. Weekend and evening work may be required around Signature Project implementation.

COMPENSATION AND BENEFITS: Compensation is $58,000-65,000 with unlimited paid vacation (Responsible Vacation Policy), 14 paid holidays, paid sick time, and healthcare and dental benefits.
